Principal Duties and Responsibilities

Position Summary
The Office Manager is often the first point of contact for families, students and staff. This position oversees the day to day operations of the school.

Essential Tasks
Greet visitors, students, and/or employees and respond to inquiries, requests for information and provide assistance.
Establish and maintain cooperative working relationships with other employees and families at All Saints Catholic School to fulfill the mission of the school.
Utilize multi-line telephone and voicemail, copy, print, fax, scan, filing, & mail distribution
Initiate & process departmental forms/paperwork such as: incoming tuition and lunch program payment, student permanent record maintenance, transfer & retrieval, family registration, student/family directory maintenance
Initiate phone calls to individual families informing of office needs, requirements, or changes
Assist Principal with annual reports, data recovery & maintenance
Assist with new staff and Human Resources
Setup of gmail accounts
Work closely with IT Director regarding staff and student devices
Provides appropriate emergency care of illness or injury to students and staff in accordance with school district policy and procedure, and as directed by the RN.
Compose written correspondence and materials
Security maintenance (security cards, new users, etc.)
Initiate school-to- parent automated communication tool setup, and maintenance


Knowledge, Skills, and Abilities
Knowledge of school policies, procedures, and practices with the ability to answer work related questions; and/or interpret and apply these guidelines correctly in various situations
Thorough knowledge of the principles of office management and of office procedures, systems and equipment.
Knowledge of business English with the ability to write in complete sentences using appropriate words, correct grammar, punctuation and spelling.
Detailed-oriented with skills in proofreading materials and data entry to ensure accuracy
Oral and written skills to convey ideas, facts, and information effectively and accurately to students, staff, faculty, and the general public
Well-organized, time management skills and self-directed
Maintains confidentiality of information learned regarding students and their families
Ability to use independent judgment and discretion..
Ability to maintain confidential and sensitive information
Ability to communicate in a tactful and courteous manner
Ability to devise or adopt office procedures to changing organizational needs
Ability to establish and maintain effective working relationships internally and externally
Ability both to take initiative and follow-through

Education and Experience
Secretary experience preferred.
Receptionist experience preferred.
Educational secretarial experience preferred.
