Principal Duties and Responsibilities

Position Summary:

The Microbusiness Assistant is responsible for providing administrative assistance to the Microbusiness program, handling day to day office support and assisting the Microbusiness staff and Director. The Microbusiness Assistant is often the first contact for clients who call for an appointment, walk-ins, and existing clients who have appointments with staff. Responsibilities also include significant data entry and general reception office tasks.



Essential Job Functions:

Provides support to Microbusiness clients. Completes client intakes. Gathers, organizes and enters client information into the agency’s client database. Provides information about agency programs and referrals when needed.


Assists with Program and agency Performance Quality Improvement processes by entering data and pulling reporting data. Assists Director with reporting processes. Ensures electronic and paper records are organized and stored securely in accordance with Federal guidelines.


Provides administrative support to the program staff and Director as well as other areas of the agency as needed.


Provides interpretation services as needed. Translate documents, forms, statements from Spanish to English or English to Spanish.


Performs reception duties such as managing calls, voicemails, mail, and staff appointment calendars. Drafts documents, prepares reports, and conducts data entry. Schedules clients for appointments/classes and makes reminder calls prior to appointments/classes. Assesses and accepts fees for clients and reports weekly collections to Finance.


Assists with planning of outreach and community events.


Performs other related duties as assigned by management.


*Reliable attendance is an on-going essential job function.


Requirements

Knowledge, Skills, and Abilities
Knowledge, Skills, and Abilities:

Must be bilingual in English and Spanish.
Understanding of, and sensitivity to, people of low-income and multi-cultural backgrounds.
Ability to translate between English and Spanish and vice versa, fluently and accurately.
Ability to present information effectively to an adult group in a public education forum.
Ability to prioritize multiple projects and ensure all details and deadlines are met.
Ability to be organized to complete delegated tasks in a timely manner.
Understanding and ability to respect client confidentiality.
Computer proficiency including MS Word, Excel, Power Point, Outlook.


Required of All Positions:

Knowledge and support of Catholic Charities’ purpose, mission, vision, values, and ethical standards.
Knowledge and support of the Catholic Charities Compliance Program requirements including – but not limited to – the Code of Ethics, the Compliance Policy, and all relevant compliance procedures.
Ability to demonstrate sensitivity to the service population’s cultural and socioeconomic characteristics.


Licensure, Certifications, and other Designations:

Valid Nebraska Driver’s License and Insurability
CPR Certification

Education and Experience
High School Diploma
Office Experience
MUST BE BILINGUAL
