POSITION TITLE: Archivist, Part-Time
DEPARTMENT: Chancellor
REPORTS TO: Chancellor
EFFECTIVE DATE: February 2021
CLASSIFICATION: Regular, Part-Time, Non-Exempt
HOURS PER WEEK: 20

POSITION SUMMARY
Administers the diocesan archives under the direction of the Chancellor.

PRINCIPAL DUTIES AND RESPONSIBILITIES
• Administer and oversee the diocesan archives according to the best professional practices and standards.
• Catalog new items for the diocesan archives.
• Revise and implement policies regarding curia record retention and record destruction.
• Draft proposals for improving the diocesan archives, curia record storage (hardcopy and digital), and parish record storage.
• Implement approved improvements to the diocesan archives, curia record storage, and parish record storage.
• Prepare and administer the annual archives budget.
• Respond to internal and external requests for information from the diocesan archives in accordance with canon and civil laws, archive policies, and procedures for access to the requested information.
• Train or provide training/educational opportunities for diocesan and parish staff.
• Coordinate and oversee the digitalization of parish sacramental records.
• Perform additional archive and record related duties as directed by the Chancellor.

KNOWLEDGE, SKILLS, AND ABILITIES
• Archival and records management skills as defined by current professional practices and standards
• Computer skills: Microsoft Office, including making and printing labels
• Familiarity with Electronic Document Management Software
• Proficiency with digital image scanning techniques and image capture
• Knowledge of Catholic Church History preferred

EDUCATION AND EXPERIENCE
• Master’s degree in Archival Administration or Master of Library Science with a concentration of Archival Administration
• At least four years related experience
• Certified Archivist (CA), and/or Certified Records Manager (CRM) preferred

WORKING CONDITIONS: PHYSICAL REQUIREMENTS
• Routine office environment; ADA-accessible building.
