Principal Duties and Responsibilities
The Parish Office Administrative Assistant is responsible for providing administrative functions to ensure efficient operation of the parish office and has exceptional organizational and project management skills. As a visible representative of the parish this position will need to put the mission of the parish first in all actions and communications with others. The Administrative Assistant will create a positive environment with an energetic personality for priests, parishioners, and staff members. This position must maintain confidential parishioner records and the discernment to know what must be kept confidential.Duties and Responsibilities:
• Answer all incoming calls with a professional, friendly approach and maintain phone system’s auto attendant by making changes to the menu as required for Holy Days and holidays.
• Receives visitors in a welcoming and courteous manner.
• Compiles and maintains permanent parishioner files and sacramental records for each parish family and keeps mailing list up to date.
• Provides registration packets and tours as well as answer any questions for new parishioners.
• Prepare all required Archdiocesan Census and Pastoral Reports Submit a list of new parishioners, address changes and families leaving our parish on a monthly basis to the Archdiocese and the business office.
• Prepare all required Archdiocesan Census and Pastoral Reports.
• Maintains bulletin boards and kiosks in gathering space.
• Maintains parish calendar and schedules and communicates with rental groups.
• Provide support for pastor and associate pastors as needed.
• Purchases office supplies as requested and maintains office supply inventory
• Processes incoming and outgoing mail
• Prepares monthly reports and maintains accounts including: postage accounts, petty cash account, and mass stipend report.
• Schedule, record payments and celebrant information and communicate weekly Mass Intentions to appropriate people.
• Other duties as assigned
Requirements
Knowledge, Skills, and AbilitiesEssential Skills:
• Must be able to foster a culture of customer service, collaboration and Christ-like behavior with a special emphasis on the virtues of faith, hope, and charity.
• Must have the knowledge and ability to use various programs and tools necessary to effectively and efficiently communicate and support the operations of the church., experience with Microsoft Office preferred, experience with Our Sunday Visitor and Mass Intentions Online a plus.
• Must have solid interpersonal, written, and verbal communication skills, and the ability to nurture relationships across the parish and community.
• Must have broad business and office management skills, good organizational skills, and ability to multitask.
Education and Experience
Required Education & Experience:
• Position requires practicing Catholic.
• High School Diploma or equivalent, some college preferred.
• Experience in nonprofit, parish, or school operations is desired, but not required if there are compensating skills and experiences.
