Reports to: Business Manager


Principal Duties and Responsibilities

Advancement
• Print and send donor acknowledgement letters
• Assist the Advancement office with calendars, periodic mailings, and management of events.
• Help with donor thank you calls
• Assist advancement with counting the Sunday collection

Ministry/Liturgical
• Maintain sacramental records for all sacraments.
• Process marriage prep paperwork, including FOCCUS results, and communicate with engaged couples.
• Communicate and Coordinate with Wedding Coordinator about wedding details
• Coordinate prayer requests and Mass intentions.
• Schedule, update and distribute the Monthly Liturgical Calendar

Newman Hall
• Facilitate the leasing process.
o Track the leasing steps, send leases and other documents for electronic signature to students and parents and answer questions associated with the leasing process.
o Maintain housing applications in housing dash
o Enter student rent invoices in Innago, a rental property software.
o Process rent or fine payments.

• Collaborate with the Residence Director to prepare materials and instructions for move in day at Newman Hall.

General
• Maintain communal office spaces and kitchen area.
• Handle phone calls in a professional manner.
• Manage and order supplies (office, liturgical, coffee bar, kitchen, etc) as needed.
• Other duties as assigned by the Business Manager.

Demonstrated commitment to the mission of the Catholic Church and fidelity to her teachings, with an enthusiasm for the new evangelization as articulated by recent Roman Pontiffs

Detail oriented and organized, with proven administrative and organizational skills.

Proven collaborator and team player who can contribute to a positive and fun work environment.

Ability to work in a fast-paced environment and handle multiple projects simultaneously, pivoting as needs arise.

Strong communication skills with both internal and external individuals

Discretion and ability to keep knowledge gained from work environ

Education and Experience
High School diploma, BA/BS preferred

Working knowledge of Microsoft Office applications, ability to learn Hubspot, Bloomerang and other software and applications used.

QuickBooks experience or ability to learn preferred.

3-5 years of administrative experience
