Department: Finance & OperationsReports to: Director of Finance & Operations
Principal Duties and Responsibilities
Accounts Payable duties:• Codes and post invoices and ensures timely payment of vendor invoices to maintain accurate records and reporting
• Print checks or make payments online
• Manage credit cards, reconciling cards with receipts provided by card holder
• Maintain files for access to all invoices
Accounts Receivable duties:
• Process cash receipts
• Process credit card and ACH deposits
• Balance all donation records with the Advancement Office to ensure accuracy of recording
• Maintains detailed records
Payroll duties:
• Coordinate with outside payroll vendor to provide accurate and timely information for bi-weekly payroll
• Communicate with department supervisors to collect bi-weekly timesheet documentation
• Maintain employee confidence by producing accurate payroll records and keeping information confidential
Provincial Community duties:
• Provide support to the Leadership Team as requested
• Answer phone calls coming into the Notre Dame Sisters
• Assist with cell phone, computer, and tablet issues
• Assist tracking of car fleet & registrations, property tax exemptions, etc.
Medical Records and Government Assistance duties:
• Be the liaison between the Sisters and the Medicare/Medicaid insurance Broker
• Assist Sisters with U Card
• Manage Sisters’ medical bills and ensure that they are processed after Medicare payments
• Be Point of Contact for Medi Guard medical monitoring alert system
Other Duties as Assigned
Requirements
Knowledge, Skills, and AbilitiesKnowledge and Skill Requirements:
• Prefer Associates Degree in Accounting or related field or two+ years of office experience as an accounting clerk or related field
• Demonstrates excellent communication skills (oral and written) to effectively communicate in person, over the phone, by email or other written communication
• Ability to prioritize and organize multiple projects
• Knowledge of general office equipment
• Strong computer skills in MS Word, Excel, Outlook, Access and the internet
Working Conditions:
• Friendly and engaging office environment.
• Ability to sit and work at computer for an extended period of time.
• Ability to lift and/or move up to 35 lbs.
Education and Experience
