Principal Duties and Responsibilities
The Database and Advancement Assistant is responsible for supporting Skutt Catholic's Advancement team by managing and tracking donations, matching gifts, and pledges, and ensuring accurate fund reconciliation and donor acknowledgments. This role also maintains a comprehensive constituent database of current and past students, families, and community members, providing the Advancement team with critical data and insights. Additionally, the Database and Advancement Assistant creates strategic reports and dashboards, and assists with event coordination for Advancement-related functions, helping to foster a culture of stewardship and engagement within the Skutt Catholic community.Requirements
Knowledge, Skills, and AbilitiesAccurately record, manage, and monitor all donations, matching gifts, and pledges in the constituent database, ensuring timely and accurate fund reconciliation.
Process and acknowledge all gifts and donations, preparing thank-you letters, tax receipts, and personalized correspondence to show appreciation to donors.
Track outstanding pledges and coordinate with the advancement team to follow up with donors.
Collaborate with the finance department to reconcile donation records, ensuring accurate reporting and compliance with financial protocols.
Maintain and update a comprehensive database of Skutt Catholic’s constituents.
Ensure data accuracy and integrity through regular database audits, verifying and correcting any discrepancies.
Process constituent information changes and assist with data import/export for cross-departmental needs.
Maintain constituent segmentation to support targeted communication, engagement strategies, and advancement initiatives.
Create and maintain regular reports and dashboards that provide strategic insights for the advancement team, including donor trends, gift history, event attendance, and campaign performance.
Generate customized reports to support specific fundraising and engagement initiatives, ensuring data accuracy and clarity.
Monitor key performance indicators for fundraising efforts, utilizing reports and dashboards to inform decision-making and strategy refinement.
Collaborate with the advancement team to assess reporting needs, providing recommendations to improve tracking and data visualization.
Provide logistical support for Advancement department events including vendor coordination, registration, set-up, volunteer management, RSVPs, name tags, guest lists, event materials, clean-up, attendee feedback, updating and constituent records.
Education and Experience
Working knowledge of Raiser's Edge NXT and Blackbaud preferred.
High level of professionalism, confidentiality, and capacity to work independently and collaboratively.
High attention to detail and accuracy and organization.
