Principal Duties and Responsibilities

The Executive Secretary supports the day-to-day needs of the Omaha Catholic School Consortium (OCSC) Executive Director by managing correspondence, calendars and providing clerical and administrative support. The Executive Secretary also supports the OCSC Leadership Team and acts as the secretary for the OCSC Board of Directors by coordinating all meetings, preparing necessary materials such as meeting minutes, reports and maintaining files. The Executive Secretary demonstrates Christian behavior and maintains confidentiality in all dealings and situations.


Performs all normal secretarial functions, including keyboarding, filing and maintaining records
• Prepares, organizes, distributes and files correspondence, minutes, memos, reports and other materials
• Serves as receptionist and first point of contact for the OCSC Central Office
• Courteously screens phone calls, keeps accurate record of calls, messages, relays messages precisely, immediately and answers questions appropriately
• Processes incoming and outgoing mail and other materials related to the office
• Coordinates printed materials and mailings; orders stationary, other printed supplies and office supplies
• Schedules and coordinate appointments, meetings and special events
• Facilitates the details, including logistics, refreshments, technology set up and other details of Board, committee, administrative and other meetings
• Works collaboratively with other Central Office team members to support mission and program efforts


Requirements

Knowledge, Skills, and Abilities
• Excellent professional and courteous communication skills; able to communicate with diverse groups of people
• Must also be able to work independently with strong multitasking, time-management and prioritization skills
• Proficient in computer and keyboard skills as well as an ability to learn and effectively use software relevant to job duties
• Knowledge of administrative and clerical procedures, systems such as word processing, managing files, records, correspondence and transcription
• Understanding of and strict adherence to confidentiality and consistently exercising discretion and good business judgment
• Effectively conveys and receives ideas through writing and speaking; explains thoughts coherently and asks questions when clarification is needed
• Exhibits a helpful, caring, hospitable and professional attitude always
• Ability to coordinate, schedule follow through and carry out assignments accurately with minimal supervision
• Ability to work collaboratively as part of a team

Education and Experience
• A strong belief in the value of Catholic education and the Catholic faith
• Minimum three years of secretarial experience with executive or administrative responsibilities required
• High school diploma required, with related college or business school courses preferred
• Associate degree in office administration, business or equivalent a plus
• Proficient in Microsoft Office suite
• Bilingual in English and Spanish preferred
