St. Robert Bellarmine is hiring an Events Planning & Support Coordinator to support fundraising and volunteer cultivation strategies including data management, support for special events, volunteer recruitment, and other operational tasks. The Events Planning & Support Coordinator will collaborate with parish staff and volunteers to:

provide support for events at St. Robert Bellarmine parish, acting as primary liaison for facilities and logistics.

support all parish committees and groups that help cultivate stewardship and development efforts within the parish.
This part-time position reports to the Director of Stewardship and Development at St. Robert Bellarmine Parish. The role requires occasional night and weekend hours to support specific events.
The anticipated weekly commitment is 28 hours per week, with some weeks requiring more hours to support major events at the parish. The expected salary range is $20-$24/hour, depending upon experience. This position is eligible for parish school tuition discounts.
The Director of Stewardship and Development welcomes candidate proposals for a flexible but effective structure for the position. Proposals should be included in the cover letter submitted with a resume and references.


Requirements

Knowledge, Skills, and Abilities
Duties & Responsibilities

Assists with all aspects of event preparation, execution, and completion. Collaborates with parish staff, Pastor and volunteers to support courteous, efficient planning and implementation of St. Robert Bellarmine Parish events.

Assists with maintenance and support of the parish database and software/programs that support stewardship and development efforts for the parish.

Drafts letters to donors and other supporters of the parish.

Works with parish staff to recruit and support volunteers to implement parish fundraising and social events.

Helps process and acknowledge contributions, pledges, offertory gifts, and other parishioner donations.

Works with the Parish business office to communicate pledge and contribution information to parishioners.

Coordinates events and activities designed to recognize and thank parish volunteers.

Supports development and stewardship efforts as directed by the Director of Stewardship and Development.

Schedules use of St Robert Facilities, which include Mainelli Center and meeting rooms, school functions, parking lot, field and gyms. Maintains the Parish calendar for events.

Coordinate contracts and payment for facility use.

Works with vendors for events.

Sets up and prepares for events including:

Meeting with Customers or Vendors on reservations to schedule an event and to communicate set up and tear down policies and procedures.

Being available for last-minute changes for set ups.

Being available for support during an event i.e. AV equipment issue, or kitchen equipment issues.

Education and Experience
PREFERRED EDUCATION AND EXPERIENCE

Practicing Catholic in good standing

Knowledge of and involvement with St. Robert Bellarmine Parish

Prior experience with non-profit special events, fundraising

Knowledge of WordPress and Joomla for website updates or willingness to learn

Effective listening, oral and written communication skills
