Principal Duties and Responsibilities

Principal responsibilities:
• Assist the Executive Director, and other office directors, with administrative tasks as assigned, including but not limited to communications, mailings, clerical work, meeting coordination, logistics support, travel arrangements, and itinerary management
• Answer and return phone calls into national offices - direct callers to others for further assistance as needed
• Prepare special reports and correspondence, summarizing and analyzing data
• Organize and expedite work through the executives’ office and initiate follow-up action
• Provide administrative and coordination support for the Board of Directors meetings, Bishops Advisory Council (BAC) meeting
• Manage travel arrangements and itineraries for all organizational leaders
• Oversee and manage reception area for national offices, including coordination of greeter shifts from among staff and volunteer resources
• Train and supervise greeters, ensure quality standards are met for all interactions with facility guests
• Update addresses for alumni, faculty, staff database as assigned
• Manage relationship with outside lease vendors including but not limited to office copiers and office security system
• Oversee monthly paper recycling
• Collect and track credit card receipts from IPF staff and prepare for Director of Finance
• Oversee general email inbox on website
• Serve as the primary reception greeter for the office.

Qualifications and Skills:
• Excellent people skills
• Excellent computer skills with knowledge of MS Office suite (Word, Excel, Power Point)
• Data entry accuracy
• Excellent verbal and written communication skills
• Able to prioritize, follow-through on tasks
• Team player who can also work independently
• Aligned with the mission and vision of the Institute

Education and Experience
• High School diploma, GED or equivalent
• Prior experience as an Administrative Assistant
