CLASSIFICATION: Regular, Part-Time, Non-Exempt

HOURS PER WEEK: 25-29 (Flexible Schedule)

Assist the director and staff of the Victim Outreach and Prevention Office (VOP) to ensure children in the Archdiocese of Omaha schools and parishes have a safe environment where they can learn and experience God’s love. The Safe Environment Associate is responsible for inputting and maintaining accurate Safe Environment platform data and assisting parishes and schools with their Safe Environment needs. This position also assists with the Circle of Grace program and provides administrative support to the VOP.


Safe Environment Duties:
• Input and maintain accurate data entry and manage the Safe Environment platform.
• Respond to inquiries from parishes and schools regarding the Safe Environment platform.
• Participate in parish and school Safe Environment audits.
• Maintain accurate information on the Safe Environment mandatory parish/school data report for the yearly United States Conference of Catholic Bishops (USCCB) audit.
• Coordinate all clergy Safe Environment certification.
• Assist in the coordination of healing retreats and services.
• Work the Circle of Grace vender booth during the yearly national conference.

Administrative Support:
• Distribute Circle of Grace mailings and materials.
• Retain and update the Circle of Grace fee schedule, contracts, and renewals.
• Collaborate with the Communications Office to develop and publish the quarterly Safe Environment newsletter.
• Type letters, memos, and flyers as needed.
• Record staff and committee meeting minutes.
• Order materials and supplies for VOP.
• Coordinate travel arrangements for staff including flights and hotels.
• Provide nametags, registration lists, mailings, and materials for workshops and events.

• Familiarity with the Archdiocese of Omaha including parishes, schools, and affiliated organizations.
• Ability to clearly convey messages with maturity and discretion in both written and verbal communication.
• Display effective interpersonal skills that build relationships, promote collaboration, ensures confidentiality, and displays the appreciation of the dignity of every person.
• Able to prioritize responsibilities effectively to ensure the needs of the VOP Staff are met.
• Ability to work collaboratively as part of a team.
• Working knowledge of basic office equipment, computers, and software programs.
• Proficient in data entry and auditing of data for accuracy.
• Demonstrated commitment to ongoing training and professional development which support the work of the position.
• Willingness and ability to travel, when necessary, throughout the Archdiocese.

• Background in and/or knowledge of the Catholic Church with a demonstrated commitment to the mission and teachings of the Church.
• High school diploma or equivalent required.
• Bachelor’s Degree in Social Work, Psychology, Business, or related field preferred.
• Minimum of one year experience in a similar position, involving executive secretarial/clerical/administrative experience and program coordination.

• Routine office environment; ADA-accessible building.
• Flexibility required in sharing office space with other staff.

• Some travel as necessary throughout the Archdiocese.
